It's not a recording. It's not a transcript. It's something different: a .meeting file generated by AI that captures the key insights from each meeting and stores them in the tenant. Not in anyone's OneDrive. Not in anyone's Teams. In a SharePoint Embedded container that only the organization and its administrators control.
It's called an AI meeting archive. It arrives with general availability starting in mid-September. And most enterprise tenants already qualify for it without changing any configuration.
The Meeting That Doesn't End When It Ends
The .meeting file doesn't store what you said word for word. It stores what the AI understood to be important: summaries, insights, context from the discussion. Microsoft explains the goal clearly: Facilitator and Copilot can answer questions about past meetings more accurately, citing directly to meeting recaps or invites.
The underlying idea isn't surveillance. It's organizational memory. A meeting stops being an event that disappears in the calendar and becomes context the system can consult later.
The problem isn't the intention. The problem is that it arrives enabled by default, with retention that can reach five years, and nobody in the company will see these files in any list because users have no direct access to those containers.
Three Conditions Your Tenant Probably Already Meets
Not every meeting generates a file. For Teams to create a .meeting file, three conditions must be met simultaneously:
A transcript must have been enabled and saved. At least one invited participant must have a Microsoft 365 Copilot license. The meeting must have "Allow Copilot and Facilitator" enabled with the "During and after the meeting" option.
The important detail is the second point. With Microsoft's recent trend of including Copilot in more subscription plans, many organizations already have at least one user with that license in most of their relevant meetings. And the third condition has been the default behavior in Teams for months.
In practice: if your organization regularly uses transcription, meetings are already qualifying.
What the Admin Needs to Review Before It Arrives
Microsoft confirmed that controls in the Teams Admin Center will be available approximately two weeks before archive file generation begins. That means there's a short but real window to review the configuration before the feature turns on.
What's worth evaluating before it arrives: the default retention period (configurable, but you need to decide how long it makes sense to store that data in your organization's legal and compliance context), whether there are meeting types where Copilot and Facilitator should be explicitly disabled, and how this integrates with the Purview policies already in the tenant.
For organizations in regulated industries, the analysis is more urgent. The files live in SharePoint Embedded under the tenant's governance, meaning Purview retention, eDiscovery, and classification policies apply to them, but you need to make sure they're explicitly covered.
The Point
Microsoft isn't doing anything wrong with this feature. The technical argument is solid: if the system can remember what was discussed in the previous meeting before the next one starts, Copilot and Facilitator will give much more useful answers.
What is happening is that organizational memory until now depended on someone taking notes, sending a summary, or recording the session on purpose. A conscious decision. Starting in September, that memory begins to exist by default for any meeting that meets the conditions, without participants seeing or controlling it.
The feature doesn't ask for permission. The admin can adjust it. The question is whether someone in your organization is reading the Message Center early enough to make that decision before it arrives.
